Policies & Fees

If rain is in the forecast, your venue coordinator will reach out about two hours before your scheduled arrival to discuss your options. Our team will handle the setup, seating, and any adjustments needed to make the transition seamless, so you can focus on enjoying your special day without worrying about the weather.
-
Are there extra fees (cleaning, overtime, staffing, security)?
Certain services may incur additional fees depending on the event type, size, and duration. These can include additional staffing, extended hours or overtime, security personnel, and specialized cleaning beyond standard venue setup and breakdown. Your event coordinator will provide a detailed quote outlining any applicable charges so there are no surprises, ensuring your event is seamless and within budget.
-
What is the deposit schedule and payment timeline?
To lock in your special day at Stanley Park Pavilion, we kindly ask for a non-refundable deposit of 40% of the Food & Beverage Minimum (F&B Minimum) at the time of signing your agreement. This ensures your preferred date and event space are reserved just for you.

Are there restrictions on décor, candles, hanging items, open flame, etc.?
Yes. To protect our historic 1913 heritage building and ensure guest safety, we do have a few décor guidelines:

Open flame must be fully enclosed, such as in votives or lanterns.

-
Is there a liability insurance requirement, or do you provide insurance?
Yes — basic venue liability insurance is included with all Stanley Park Pavilion rentals. This coverage protects both you and the venue for standard event-related incidents, offering peace of mind throughout your celebration.
Please note that certain event types or activities (such as live entertainment, specialty décor, or large-scale productions) may require additional insurance or vendor-specific coverage, which we will advise you on during the planning process. Our sales team is happy to guide you through any supplemental requirements to ensure your event is fully protected.
